Outsourced mortgage processing is usually quoted per file, but two quotes that look alike can include very different things. Here is how to compare them.
Common pricing models
- Per file. A fee for each file processed. Cost scales with your volume and there is no commitment when the pipeline is quiet.
- Retainer or monthly minimum. A recurring fee, sometimes with a set number of files included. It can lower the per-file cost for steady volume but removes the flexibility.
- Hourly or tiered scope. Charging by time or by service tier. Harder to predict, so ask for a cap or estimate.
XG Processing Group is priced per file, with no monthly subscription and no required minimum volume. Scope and fees are set in a separate business agreement.
What moves the fee on a file
- Loan program and complexity. A straightforward conventional file is a different workload from a non-QM, bank-statement or DSCR file with extensive documentation.
- Scope. Processing only, or also conditions management and closing coordination.
- Turnaround. Standard timelines versus rush handling.
- Re-submissions and fallout. How the fee works if a file is re-submitted, put on hold, or does not close.
Questions to ask any processing desk
- What exactly is included in the per-file fee, and what is billed separately?
- How are re-submissions, withdrawn files and cancelled loans handled?
- Who is my processor, and who covers when they are out?
- How will I get status updates, and how often?
- How are documents exchanged and stored securely?
- Which loan programs and lenders do you work with day to day?
- Can I start with a small number of files before committing more?
Compare the full cost, not just the fee
The cheapest per-file price is not always the lowest cost. A file that stalls because conditions were missed, or that needs re-work, costs time and sometimes the closing. Look at turnaround, communication and how well the desk catches problems early.
